Lionbackers Meeting Minutes                Date: Sept 18, 2016
Members Present:  Brenda Forte, Melanie Watson, Traci Thompson, Gary Kay
Reports:
            Secretary: Melanie Watson read the minutes from the May 22 planning meeting.
                        Approval of the reading of the minutes was motioned by Gary Kay, and seconded by Brenda Forte.
            Treasurer: Andrea Rhodes absent
 
            Membership: Melanie Watson gave a total of 6450$ in membership renewals so far and discussion was had on the Thank You ad placed in the Messenger for all members who had renewed.  At 180$ it was approved as a worthwhile acknowledgement of members who took the time to renew without being called back and hunted down.  Melanie shared that she and Cassie Striet, membership committee member, were planning a 50 Families drive to get 50 Family memberships and they would be calling and mailing all the members who hadn’t renewed yet.  Lastly she shared that their goal in membership this year was 10,000$ and it would take new members to make that happen and they were working on ideas to approach new businesses for signs memberships
Advertising: Traci Thompson shared that she had looked up all the advertising she did last year (Hoisington Tournement $180, Regional Wrestling $185, State Wrestling 159$, State BB Girls 250$, State BB Boys 250$ State Softball 215$, Shriner Bowl $200and any miscellaneous that may come up).  She stated she would need more than she actually thought in May for her budget.  Discussion ensued on whether 4000$ in advertising, radio, and Game Time was in line with our mission of helping students and were their opportunities to advertise in Forensics or other teams outside of sports.  Traci stated she had never been contacted by any other teams, but would be open to including them but it would increase her budget further.  It was left to increase her budget as of now and revisit the advertising budget if membership doesn’t meet their 10,000$ goal.
Media:  Melanie Watson reported that they were 5 LIKES shy of their goal to have 500 Facebook followers.  She reminded everyone to remember that when they post of facebook as an editor that their personal name doesn’t appear, they are only identified as Lionbackers, and to keep in mind they need to post in a generic way to represent the entire organization.
 
Fundraising: Tamala Lott absent.  Discussion did involve they budget for 2016/2017 was now almost 15,000$ and to keep doing all the things we want to do for MJSHS we may need to add another fundraising project.  Ideas of a 3 on 3 basketball tournament were discussed.
Spirit:  Melanie Watson gave a report on the locker whiteboards that were given to each student at MJSHS and that teachers reported seeing many in use.  It was approved as a good idea.  She also gave an update on the flags that were ordered and that a “sample” flag was on it’s way to help people see what they were getting.  She plans to set up the spirit wear booth for homecoming with our yard signs, flags, glitter shirts, and some other Lionbacker members who are making and designing Lionbacker items.
Staff Appreciation:  Brenda Forte reported that she spent $700 on back to school teacher and para bags filled with office supplies, food, and useful teacher items.  Melanie reported she had received 2 thank you notes from teachers about the back to school gift bags.  Brenda shared that she was planning to do home cooked cookies and treats for Staff Christmas again this year, but wanted to include some healthier choices and some sugar free choices this year. 
Concessions:  Brenda Forte reported the Scrimmage Concession stand went really well and they deposited about $600 dollars, but she was unsure of what the expenses were.   It was discussed that not using the schools pop or candy was a great idea because it helped sell all the donated items and there were a few leftover hamburgers but everything else sold out.
            Special Items:  Brenda Forte spoke with the Terry Moeckel and Lionbackers would be included in the special points system for the classes again this year and the new service points to graduate program so students can help out with Lionbacker events, concessions, and projects to earn points.
 
Old Business:  Melanie Watson passed around the budget for the year and the events we know we are paying for, (posted on the website MJSHSLionbackers.com – Committees and Budget for 2016).   So far the budget is just shy of $15,000.  It was discussed that in years past the booster organization has spent up to $20,000 -$25,000 and our savings would be wiped out without more members, more fundraising, or cutting services.
Homecoming, October 21
                        Spirit Item:  Brenda Forte motioned to have face painting before the game at the spiritwear booth and tattoos available at the grade school and the high school the day before the game, Traci Thompson seconded, unanimous vote.  Gary Kay motioned to make up to $150 available to the student council to promote the Homecoming week activites or theme,  seconded by Brenda Forte, vote passed with 3-1.  Brenda volunteered to get some high school girls to paint the faces and Melanie would buy the supplies.  Both of these exspenses would come out of the $200 allotted for Homecoming from the Spiritwear budget.
                        Concessions:  Brenda Forte is heading up concessions again and gave some great ideas of serving pizza slices.  Discussion was had on contacting Pizza Hut and Caseys for discounts but it that didn’t work, going to Little Ceasars or Tonys. 
                        Float:  Brenda Forte volunteered to contact Angel Constable and Tabitha Wilson about a Lionbacker float this year and Melanie reminded her there was a $150 budget for float items and candy.
New Business:
            Nominate new president:  Melanie Watson nominated Breanda Forte to be president in 2016/2017.  Unanimous vote.
            Spring Play Meal:  Tabled to next meeting.
            Banking:  Traci Thompson motioned we include Brenda Forte and Andrea Roth on the banking accounts and remove Becca Metzler.  Gary Kay Seconded.  Unanimous vote.
Meeting was motioned to adjourn by Gary Kay, seconded by Melanie Watson.   The next meeting will be on October 2nd @ 6pm in the MJSHS Library.

Lionbackers Meeting Agenda         Date: 5-22-2016

New Business:
            Lionbackers Directory:  no longer viable, no secretary in that position, discontinued
            Teacher Appreciation Grants:           Power Lion vs Grant Budget, discussion ensued as to giving each group/team $100 to apply toward their team shirts or needs instead of individual teacher grants.  Teacher grants were deemed more important and in line with Lionbacker mission statement.
            Sixth Grade Parents:  Melanie will contact Angel Constable to address 7th grade families at their back to school swim night and Project 2020 meeting, Melanie will search out committee members to fill open slots at that time also.
            PowerLion: signs vs powerlion membership, discussion ensued where the president relayed their were not enough active member to police all the projects of Lionbacker – let alone PowerLion membership.  It was decided that any Lionbacker in good standing should be able to use the powerlion log for their use.  If this becomes a problem, it can be revisited at a later date.
            Sponsor Park Movie Night?  300$ was appropriated for Lionbackers to sponsor the August Movie night at the park.
            Teacher Appreciation:  New teacher gift was discussed and a budget set for something for each teacher for back to school and new teachers would be addressed with items from the Spiritwear box.  Brenda Forte will be handling teacher appreciation and a budget of 3500 was set and it was decided she could divide it up any way she would like to handle the main teacher events of Back to School, Staff Christmas, Teacher Appreciation Week, Teacher/Staff Luncheon.
 
Meeting was adjourn.  Next meeting would be scheduled to in September for membership updates and Homecoming concessions.

January Meeting Minutes

Lionbackers Meeting Date:  January 10, 2016

Members Present: Gary Kay, Melanie Watson, Melissa Baccuss, Tamala Lott, Terry Moeckel, Traci Thompson
 
New Business: Terry Moeckle requested Lionbackers sponsor a new game audio service GameTime which plays intro’s, music, advertisements, and announcements during down times of athletic events.  Terry was excited because he can email the company and they will modify & update the recording each week.  The company sells national advertising and wants the school to sell local advertising to offset the annual fee, but Terry is asking Lionbackers to purchase the initial program and first year instead of asking businesses for advertising dollars.  The initial payment includes a computer to run the software and the annual membership fee (first year is $2400, renewal years will be $1800).  Our initial membership will run through Aug 31, 2017.  Discussion centered around the band playing at varisty games instead of GameTime, jr varsity games, the weight room, baseball. track, football, and softball fields.  After listening to sample tapes, Gary Kay motioned we pay for the first years fee and fill the available slots with Lionbacker advertising for our members and organization, plus announce upcoming school events and info which Terry will manage.  Tracy Thompson added to the motion to reevaluate our support at the end of the first year and then she seconded.  Vote passed unanimously.  .    
Grants: ($2500 budget)  Teacher grants were approved for Mark Renfrow industrial arts jigsaw and circular saw $238, Tamara Constable art mat cutter $365, Heather Bergman chemistry parafilm dispenser & labeler $90.  jAfter discussion these grants were approved for ½ from Lionbackers and teachers were asked to contact the district to see if they would meet the other ½ of the requested funds - Melissa Baccuss science vernier lab probes & equipment $700, Jhon Haehn football shadow man tackling aid, $1,100.  After much discussion the grant from Linda Smith USD 239 citizenship program grant was modified, Lionbackers will donate items from the Spiritwear inventory to support the program instead of money.
Advertising Budget:  Tracy Thompson shared advertising Lionbackers does for state advertising, messenger ads, away game radio subsidising, and other last minute ad needs for her budget.  Tamala Lott motioned the advertising budget be set at $2500 for 2015/2016.  Seconded by Melissa Baccuss.  Passed unanimously.  Melanie Watson discussed that the new GameTime fee will need to be added to the advertising budget next year if Lionbackers decides to continue the service after next school year.  
Basketball Tournament:   Tamala Lott reported the date for the basketball tournament will be Saturday, Feb 13, 2016.  She has already sent out team letters.  Bridgette Nelson, concessions, stated she would not be able to find enough Lionbacker volunteers to man concession stands at MGS, MJSHS, and Bennington gym locations.  Mr. Moeckle gave the okay for high school students to work and earn points for their time.  It was discussed and decided that Lionbackers would run MGS and MJSHS, but Bennington would go to a traveling team to run, plus if there were not enough volunteers that a traveling team would be given MGS.  
Old Business:            SpiritWear:  Burn out, long sleeve shirts were discussed and no motions were made.  Dismissed.
Lionbackers Signs:  Outdated Lionbacker signs at the Football field and Gym door were discussed, Tracy Thompson motioned we remove the signs and replace them with a generic spirit pride signs.  Gary Kay seconded.  It was decided that Terry would ask the janitor to remove the signs and Melanie would contact him to replace the gym door sign with a student designed sign.
Power Lion:  The PowerLion Copyright was discussed and Melanie Watson Barefield was instructed to update the Website page with a PowerLion usage page..
Reports:             Secretary:  absent            Treasurer: absent, $20,000 savings, $503 checking            Membership: Melanie Watson Barefield shared there were a lot of unpicked up membership gifts.  Discussion was held on what to do with the gifts and if a second email should be sent.  It was decided that unused gifts would be donated to the USD 239 Citizenship Program to use as they needed for students at the end of the year.  Melanie stated she would send out a postcard to inform members who hadn’t gotten their gifts yet.            SpiritWear:  Melanie Watson Barefield stated the need for new Lionbacker flags and yard signs.  She showed a sample of a digitally printed flag.  She also explained that USD 239 did not have a laser cutter as previously thought so using MJSHS students and purchasing the signs from Mr. Renfrows classes wouldn’t work, but that Lionbacker Jake Cline would laser cut the signs and Mr. Renfrows Industrial Arts Students would sand and paint them.  Discussion was held about the spiritwear box being trapped in the football concession stand and not being able to get it to the basketball gym because of the school construction.  It was decided to make sure the spiritwear area at City Pharmacy has everything available from the booth.  Melissa Baccuss motioned to buy 50 Lionbacker flags.  Tracy Thompson seconded.  Tamala Lott motioned to advertise the Lionbacker yard signs and take orders and fill them as orders come in.  Seconded by Melissa Baccuss. Amendment:  The original price of 36$ per flag was incorrect and the new price qoute was 45$ per flag, after contacting all the members present at the meeting by text, it was decided to continue with the order but to send out an email to see if any Lionbacker members would be interested in preordering flags at cost to offset the budget.            Concessions: absent            Fundraising:    Volleyball Tournament, Junior 3 on 3 basketball tournament, Lionbacker Event Blue Moon discussion was tabled until after the basketball tournament.            Media:  non

The next meeting will be TBA, if Tamala needs last minute help with the basketball tournament.  Next official meeting will be Sunday, April 10th @ 7 pm.

Lionbackers Meeting Minutes        Date:  September 14, 2014

Members Present:  Melanie Watson, Andrea Roth, Traci Thompson

Reports:

            Secretary Reading of the Minutes:  Minutes were read and Traci Thompson motioned to amend the minutes to include the vote of Back to School flash-drive gifts to all MJSHS students.  She had made the vote, which had been taken at the past meeting, to spend $3.00 for each flash-drive with lanyards for all students in MJSHS.  Becky Yoxall had seconded and it had been a unanimous vote.  This vote was inadvertently left out of the minutes.  Minutes were amended to reflect the vote.   

            Treasurer:  $16,315.49 pending a deposit.  Needed to order more checks. Ordered a debit card and the bank is in the process of sending paperwork for a savings account.

Membership:  Sent email to run an article and put form in Messenger.  Has yet to send out membership forms to renew in mail.  Traci attended the scrimmage and first home game.  There are a current membership of 58. This year she added a date column to her spreadsheet to alleviate people who question why they are not listed in the program.  The list for the program must be in by Tuesday and if memberships come after that, they are not listed on the program that week.

Special Events:  Back to School gifts.  Andrea was able to order and purchase flash-drives with lanyards for $3.00.  She ordered 325 and delivered them to the school.  The school passed them out to all students in first hour.  She included 6 extra for the office.

Old Business:

            Officer / Chairpersons Positions:  Secretary, Melanie Watson, passed out the committee officer/chairperson positions filled so far in 2014.  Discussion was held on nominations to fill vacant or soon to be vacated positions from the membership rolls.  No action was taken on new officers or chairpersons.  

             T-Shirt Quilt:  The t-shirt quilt raffle tickets were sold at the last home game and the raffle has collected $30 dollars so far.

Media:  Melanie Watson gave a report of the new Facebook page, Instagram account, Vine account, and twitter account.  Members were encouraged to get on and learn how to use those accounts and post things that are happening at school on a regular basis.

New Business:

            Membership for Students:  Students may be members and purchase single memberships through the membership committee.  Motioned by Traci Thompson, seconded by Melanie Watson, unanimous vote.

            Spirit Wear:   A budget of $2500 was approved for 2014 purchases.  Traci Thompson motioned, Andrea Roth seconded, unanimous vote.  Melanie Watson will inventory the old spirit wear cabinet with the help of Traci Thompson. Before the next football game.  They will hold a punting and passing contest at halftime of the next home football game with spirit wear as the prize.  Melanie will contact Teri Moeckle for help implementing that.  

            Savings Account:  Andrea Roth, Traci Thompson, Melanie Watson will all sign the checking and savings cards to Bennington State Bank.  Motioned by Melanie Watson, seconded by Traci Thompson, unanimous vote.

            Lion Signs:  Melanie Watson motioned to remove the Lionbacker signs at concession stands and above gym door for refurbishment and redesign.  Traci Thompson seconded.  Unanimous vote.  Andrea Roth was appointed to contact Shawn Roth to remove signs at his earliest convenience.

            Float for Homecoming Parade:  Melanie will contact CaSandra Smith to see how much money to appropriate to the float.  (392-0149)   Shawn Roth, Melanie Watson, and Traci Thompson will be responsible to find volunteers to help CaSandra build and execute the float for Homecoming, September 26.

            Teacher Appreciation:  It was discussed what to do for teacher appreciation this year.  Andrea Roth motioned that some sort of teacher recognition should go on at the first basketball game.  Seconded by Traci Thompson.  It was tabled until the next meeting to decide what kind of recognition until the Teacher Appreciation chairman could bring ideas back to the board.

            Media:  Melanie Watson asked to make changes to the email account.  She will be responsible to contact the superintendent to see about getting an usd239.org email.  Melanie Watson motioned to appropriate $25.00 for a reward for the student producing the funniest vine video using the lion sign in the front of the school.  Seconded by Traci Thompson, unanimous vote.

            Senior Plaques:  It was brought to the board’s attention that no plaques were distributed to seniors graduating in 2014.  Discussion centered on whether this was a service and expense that student still wanted.  It was reported that no senior had inquired about the missing plaques.  The possibility of Lionbackers purchasing senior year books instead of plaques in 2015 for all seniors was discussed.  Since there were no forms sent out in 2014, there is no information to put on plaques at this late date.  Melanie Watson motion to cancel 2014 plaques, Andrea seconded, two yahs, one nah.  Andrea Roth voted to table the plaques until next meeting and Melanie Watson seconded, vote was unanimous to table any decision on senior plaques until the next meeting.

Lionbackers Meeting Minutes        Date:  October 5, 2014

Members Present:  Melanie Watson, Andrea Roth, Traci Thompson, Tamala Lott, Becky Yoxall, Angel Constable

Reports:

Secretary Reading of the Minutes:  Motioned for approval by Traci and seconded by Melanie.  Unanimous vote.

Treasurer:   $19,286.04

Membership:  Sent out emails to Lionbackers who still need to renew.  Will bulk mail a written letter to remaining Lionbackers who have not renewed yet.

Media:  The Vine contest was canceled because the Vine App is deemed too inappropriate to be supported by Lionbackers.  Melanie contacted Mr. Macy about the email and he didn’t see why the Lionbackers couldn’t have a USD239 email.  Melanie will contact Ed at the school to see when that will be set up.  School Website page mission statement:  Lionbackers is the parent/community organization that supports the students and staff of MJSHS.  Become a Lionbacker today.  Follow us on our Website.  Then list link to www.mjshslionbackers.com

Spirit Wear:  Melanie purchased 250$ of inventory for the homecoming game and sold 330$ at the game.

Teacher Appreciation:  Melanie contacted Mr. Macy about doing a teacher recognition on the first home basketball game.  She will touch base with him again and get that date reserved with Mr. Moeckel.  Angel will be in charge of the teacher recognition at the half time of the basketball game between Ellsworth and Mpls- Dec 16, 2014.  She will research pins that represent the number of years the teachers have served the district.

Special Events:

Homecoming:  Float was awesome.  CaSandra Smith still needs to turn in her receipts.  Andrea will contact her make to be sure she lets Lionbackers reimburse her for her expenses.

Concession stand:  Next year there needs to be 250$ in quarters and $200 in extra dollar bills.  Need to order 200 hotdogs and hamburgers.

Old Business:

Officer / Chairpersons Positions:   These position are still open Media, Spiritwear, Fundraising, Secretary, Back to School

SpiritWear:  Brenda Nelson Aherns did the past bling shirts.  Melanie will contact Brenda to do the new bling shirts for the Christmas Promotion.  Becky Yoxall shared that the stadium seats were $52 in 2013.   Megan Grimes wants to sell Spirt Wear.   Megan and Angel Constable will serve with Melanie on the spirit wear committee.  The Christmas Promotion will entail setting up a store connected to our website and preselling stadium seats, stadium jackets, basketball jerseys, football jerseys, hooded blankets, burn out long sleeve shirts, burn out short sleeve shirts, and bling shirts.

Jr/Varsity SpiritWear:  not selling      

T-Shirt Quilt:  The t-shirt quilt raffle tickets were sold at the previous home games and the raffle has collected $80 yet.  The raffle will be run once more for the first half of the home game against Riley County on October 24th , then drawn for at half time.

Lionbackers Signs:  Discussion was held on names not being added in a timely manner to the booster signs at the football field and basketball court.  Becky Yoxall motioned to remove the Lionbacker sign at the football field.  Seconded by Tamala Lott.  Traci will contact Will about a basketball gym sign and begin the process of making a new base sign to attach names to.

Senior Plaques:  Melanie motioned to no longer give plaques for graduation.  Seconded by Tamala.  Unanimous vote.   

Passing Contest for Program insert.  Announce at 2nd quarter.  Last homegame in bookbags on Friday October 21.  FB page.  Tamala will make up the flyer for the grade school.  Becky Yoxall will run the passing contest that night.  Angel and Melanie will bring hoolahoops.  Becky will find dads to run the event.    

New Business:

Teacher Grants:  Andrea motioned that we make $2500 available for teacher grants again in 2014.  Melanie will get the letter ready to email out once the new email is established through USD 239.


Spirit Wear Website:  Melanie would like to add a paypal account to the Lionbackers website so they can accept membership payments on the website.  She would also like to upgrade the website to a pay by the month website to loose the .weebly and just become mjshslionbackers.com.  The fee is 7.95 a month to upgrade.  Becky Yoxall motioned to upgrade the website for the 7.95 fee each month and begin the process of making the website into a store.  Traci Thompson seconded.  Vote was 3-2.  Passed.

Treasurer:  Andrea Roth made a heroic attendance, coming straight from the lake with her boat in the parking lot!  She gave a treasurers report in her bathing suit and updated the committee on a new savings account and debit card for Lionbacker funds.  Checking Account:  $12,912.63             
Membership:  Traci Thompson gave a report on membership ideas for September.  Her first event will be the sign up table at the mjshs scrimmage games.  She will also contact the Messenger about a membership article in the paper and publish the usual membership form in the paper.  Lastly she will send out membership forms to all current members to renew.  Andrea and Shawn Roth will begin putting up flags and banners for the first home football game.

Old Business:
Football Field Decor:   Becky Yoxall updated the committee on the cups she bought to redo the lion paws and letters on the football field fences.
New Business:
Election of Officers:  Traci Thompson nominated Melanie Watson for president.  Becky Yoxall seconded and vote was unanimous.  Melanie Watson nominated Traci Thompson for membership chairperson.  Andrea Roth seconds and vote was unanimous.  Becky Yoxall nominated Andrea Roth for treasurer and Traci Thompson seconded and vote was unanimous.  Other committee members were addressed and filled on a temporary basis until membership is completed in November.  (See attached committee member sheet.)
New Membership Level:  Traci Thompson made a motion to add a new membership level called Power Lion Membership.  It will run just like Lionbackers Membership but have an added privilege of being able to use the Lionbackers Power Lion Logo for commercial or person financial gain.  Melanie Watson amended the motion to include preferred listing in the program and spirit wear discounts.  Becky Yoxall seconded and vote was unanimous.
Membership Gift:  Traci Thompson presented the committee with an idea to give window/car clings with paid memberships in 2014 instead of Lionbacker t-shirts.  Melanie Watson made a motion to authorize membership to purchase the clings with a budget up to $3.00 for purchase of each cling.  Andrea Roth seconded and vote passed unanimously.
Fundraising:  Andrea Roth made a motion to sell raffle tickets during the home football games for a t-shirt quilt she had made, 1-3$, 2-5$, 10-20$.  Traci Thompson seconded and vote was unanimous.
